ClinicRite FIELD GUIDE
Evaluate a new administrative tool
Understand what a tool receives and does before connecting it to a practice.
Describe the data
List the categories of information the vendor would create, receive, maintain, or transmit. Do not test with real patient data in an unapproved system.
Review responsibilities
Where applicable, review business associate requirements with qualified advisers. A vendor’s marketing label alone does not resolve the practice’s obligations.
Limit access
Match access to job responsibilities and establish an offboarding process. Ask how audit records, recovery, and support access work.
Pilot safely
Use synthetic examples and a small workflow. Approve the information-handling arrangements before introducing patient information.
Keep the conversation grounded.
Business operations information only. Not medical advice, a patient portal, appointment booking, an EHR, or a claim of HIPAA compliance. Do not send patient information.
