Build a record and workflow inventory
List the categories that may need migration: future appointments, practitioner schedules, permitted contact details and other records your practice is authorized to handle. For each category identify its current system, responsible owner and retention requirements. Do this within your approved systems, not through a public enquiry form.
Separately list the workflows connected to scheduling. Reminders, intake, payment collection, reporting and accounting exports may rely on integrations that need their own setup. Ask whether each connection will be migrated, recreated or retired. A successful appointment import alone does not prove that the surrounding workflow is ready.
Get a written migration scope
Ask the candidate vendor which fields and file formats it accepts, which information it cannot transfer and what checks it performs. Clarify who resolves rejected records, how duplicates are handled and whether a second import is needed for changes made between the first export and go-live.
Request the export and cancellation conditions from your current supplier before committing to a date. Confirm continued access to historical records and the responsibilities after cancellation. A practical schedule allows time to investigate discrepancies rather than treating the vendor’s import completion message as final acceptance.
Test with fictional scenarios and controlled access
Before live operation, staff can practice a new appointment, a reschedule, a cancellation and an administrative follow-up using synthetic records. Check that the correct people can see and complete the required actions. Test permissions for a staff member joining, changing role and leaving the practice.
The practice should determine its HIPAA and other privacy obligations, conduct the appropriate risk assessment and obtain required agreements before live information is processed. HHS cloud guidance explains why storing encrypted electronic protected health information does not by itself remove a cloud provider’s business-associate responsibilities. Procurement should involve the practice’s responsible compliance personnel.
Define the first-week operating plan
Name a go-live lead, a backup, a vendor escalation contact and the person authorized to pause the transition. Prepare staff instructions for the scheduling source of truth and the handling of changes received during cutover. If old access remains available, explain whether it is read-only and how staff avoid making conflicting updates.
Review unresolved tasks daily during the first week and record who will close each one. Compare the result against the original workflow requirements, not just the number of imported appointments. You can ask ClinicRite about administrative preparation using the existing form: include the practice type, systems and desired timeline, but no patient details. Vendor features and implementation availability require direct confirmation.
