Choose a small set of representative situations
Prepare three scenarios: a new booking, a rescheduled appointment and an appointment that needs follow-up. Describe the staff roles involved, the information each role needs and the point at which responsibility changes. Leave patient names, clinical notes, diagnoses and identifying appointment details out of the brief.
Count approximately how often the situations occur during a normal week. Those counts help prioritize the demonstration without turning the exercise into a full data-collection project. An uncommon exception may still matter if it regularly leaves work unfinished or requires several staff members to resolve.
Run the workflow rather than watching slides
Ask the demonstrator to create a fictional booking, change its time, show the relevant staff view and explain how the change is communicated. Then show a cancellation or incomplete administrative task. Identify whether the next action is automatic, assigned to a person or left in a general queue.
For an allied-health practice, Jane is one system to examine alongside the practice’s own requirements. Confirm the current product capabilities, location eligibility and plan directly with the vendor. A listed feature is not proof that the entire workflow will work with your existing systems or operating procedures.
Make privacy and access part of procurement
Map which roles need scheduling access, financial access and other permissions. Ask how accounts are created, changed and removed, and how activity can be reviewed. Request the vendor’s current security and contractual materials through its official channels rather than relying on a sales description alone.
HHS explains that a cloud provider maintaining electronic protected health information on behalf of a HIPAA-regulated entity can be a business associate, including where the information is encrypted and the provider lacks the key. The practice should assess applicable obligations and required agreements with its own compliance adviser before live data is transferred.
Score a practical pilot
Use a simple scorecard: can staff complete the scenario, who handles exceptions, what manual work remains and what evidence confirms completion? Note the subscription, onboarding, migration and optional-service costs separately. Ask for the migration scope and support boundaries in writing; not every historical field or document is necessarily included.
Choose a pilot owner and a review date before a wider switch. Define success as a measurable task outcome, such as fewer unassigned rescheduling tasks, rather than a general feeling that the software is modern. ClinicRite’s enquiry form can take your practice type, current administrative tools and a synthetic workflow description. Do not send patient information or clinical records.
